When working with a group of Tableau Users on completing a project it is often useful to delegate a team lead. This person should have experience with Tableau as well as experience with finding technical resources to help answer questions that arise. The Team lead is also a person who has access to all the different data sources that the Team intends to use.
Tableau Server also has the capabilities of assigning a "Project Lead" to a project. This is an important feature to leverage to help take the weight of administrating services off of the Site and/or System Admin. This permission can be enabled inside of Tableau Server in the Project Permissions section.
